Visa

General Informaiton

Valid passports are required. Entry visas may be necessary depending on the participant's nationality. Please refer to the website http://www.mofa.go.jp/j_info/visit/visa/index.html.

Among the PICES member countries, Russian and Chinese participants are required to obtain Business Visas.

Steps to get Visa:

  1. Apply for an invitation letter by filling out and sending the FORM (docx, pdf) and the PASSPORT PAGE scan containing your PHOTO in pdf / jpeg /png format to NIPPON TRAVEL AGENCY (processing takes 2-3 weeks)

  2. Apply for Visa (processing time varies)
    3. After receiving an invitation letter, submit your VISA application at the Japanese Embassy or any Japanese Consulate in your country

  1. Full Name (In English / as indicated in your Passport）
  2. Nationality
  3. Residency
  4. Company/Institution/Organization
  5. Occupation
  6. Gender (Male / Female)
  7. Date of Birth. Format: year, month, day (19XX,XX,XX)
  8. Age (XX years old)
  9. Full Mailing Address with Postcode (ZIP)
  10. Telephone number
  11. Planned flight (date and flight NO.)

NOTICE! Please attach a copy of your hotel reservation. Ivitation letter cannot be issued without confirmation of your travel.

Deadline for invitation letter request

Please note that because it takes time to get an official government-issued invitation letter and to deliver the original hardcopy to the applicant, new requests for letters will NOT be accepted after April 30, 2020. Please send your request form to NIPPON TRAVEL AGENCY (mseas_2020@nta.co.jp) as soon as possible before the deadline, even if your travel arrangements are not finalized.
